Position Purpose
As a member of the Academic Operations support team, coordinates and performs a wide variety of administrative tasks to increase efficiency, expedite/coordinate/support the work of others, and ensure smooth administrative operations.

Required Qualifications - Education and Yrs Exp Associates plus 2-3 years' experience or equivalent combination of education and experience
Required Qualifications - Skills, Knowledge and Abilities
  • At least two years of office experience and in-depth knowledge of office procedures, with some degree of autonomy.
  • Proficiency with computer applications, particularly Microsoft Office products, and the ability to learn new programs and applications with training and/or on-line tutorials.
  • Strong interpersonal skills and the ability to communicate effectively with a wide range of constituents.
  • High accuracy and attention to detail; strong communication and organizational skills.
  • Ability to adapt to changing priorities in a fast-paced environment.
  • Able to support, contribute to, and strengthen a vibrant, culturally diverse, and inclusive learning community of students, alumni, faculty, and fellow professionals.

Key Accountabilities

Description
1. Administrative Support
  • Coordinates a variety of academic and administrative support functions; handles invoice reconciliation (copyrights, faculty accounts/subscriptions, etc.) and travel reimbursements; and tracks course related costs (guest speakers, printing, copyright materials, etc.);
  • Facilitates administrative processes for teaching assistant and research assistant hiring; assists in onboarding activities for new academic appointments;
  • Assists academic coordinators as necessary with behind-the-scenes classroom logistics (including, but not limited to: review of course details in LMS, AV tech checks in the classroom, and handout compilation and delivery);
  • Completes any other tasks and assignments associated with assisting in academic operations.

2. Communications
  • Serves as a point of contact representing academic operations for internal and external constituencies; prepares and distributes department documentation related to procedures.

3. Information Management
  • Establishes and maintains department files and databases (e.g. Tuck cases database and website; policy, process and training documentation; and other department information) to ensure accuracy and accessibility of information.

4. Schedule Coordination
  • Coordinates recurring department activities; coordinates schedules and itineraries; supports Scribe Program Manager with scheduling and onboarding; and assists academic operations staff as needed.
