Position Purpose
To operationally support the Geisel School of Medicine's Office of Student Life by coordinating a variety activities and programming that support student experience, including student research and academic advising services. To enable the optimal use of systems tracking student academic progress and remediation and short-term absences, leveraging technology to support the student experience and ensure compliance with relevant policies and procedures. To implement operations and communications that improve the efficiency, effectiveness, and service of the Office of Student Life.

Required Qualifications - Skills, Knowledge and Abilities
  • Bachelor's degree plus 3-5 years experience or the equivalent combination in education and experience.
  • Ability to operate with a high degree of autonomy, proactively identifying improvement opportunities and resolving problems.
  • Demonstrated proficiency in administering and customizing software programs to meet unique needs, or demonstrated ability to master new software quickly.
  • Excellent verbal and written communication and interpersonal skills.
  • Ability to manage logistical and administrative details of multiple tasks or projects.
  • Ability to work effectively, independently, and as a member of a team.
  • Proficiency in database management, spreadsheets, and other computer software.
  • Proficient with computer applications, including website updates and database entry and management.
  • Ability to maintain and foster confidentiality.
  • Demonstrated ability to effectively collaborate and interact with all levels of employees, management, and leadership.
  • Attention to detail and accuracy.
  • Commitment to diversity and to serving the needs of a diverse community.
Preferred Qualifications
  • Familiarity with Dartmouth accounting systems and procedures.
  • In-depth knowledge of office procedures, including financial transactions.
  • Knowledge of Maxient or similar software.
  • Knowledge of Canvas or similar software.
  • Knowledge of SharePoint or similar software.

Key Accountabilities

Description
Software Administration & Reporting
  • Administers the Maxient software platform to support student case management for academic progress and remediation as well as short term absences from the curriculum, including reviewing absence requests/notifications, reporting, and tracking needs by overseeing system configurations, user roles, and access permissions.
  • Administers the Student Document Repository (SDR) using SharePoint to track student record completion. Communicates with relevant offices (student research, clinical education) and generates letters of attestation regarding student compliance with SDR requirements.
  • Collaborates with relevant stakeholders to customize workflows, forms, and templates within the software systems.
  • Supports development and implementation of training sessions for staff, faculty, and students on usage, policies, and procedures of the software systems.
  • Serves as a resource for colleagues and stakeholders, offering guidance and assistance in navigating the software systems effectively.
  • Generates comprehensive reports and data analytics using the software systems to inform institutional decision-making, assess trends, and measure impact.

Description
Academic Advising & Student Research Programming
  • Coordinates all tutoring programs, recruiting, onboarding, and managing tutor payments.
  • Coordinates, schedules, and participates in academic advising student panels, workshops, and information sessions.
  • Tracks, coordinates, and schedules all academic advancement committee meetings. Ensures clear documentation and follows-up with students to ensure they meet requirements.
  • Effectively responds to questions from students about academic advising processes and research opportunities and activities.
  • Tracks and processes student requests for research conference travel funding.
  • Tracks and maintains records of student research publications.
Percentage Of Time 40%
Description
Operations and Communication
  • Serves as first point of contact for questions from students, staff, faculty, effectively redirecting individuals to the appropriate person who can best address their needs as appropriate.
  • Ensures timely communication with students, responding to the student life, academic advising, and student research email accounts
  • Monitors, maintains, and update internal and external websites, newsletters, physical messaging boards, and calendars to ensure up to date information on services and events.
  • Supports coordination and execution of student life programming and events, including orientation and student research events, occasionally staffing events outside normal business hours.
  • Coordinates and schedules a variety of activities to support office functions and meetings, including reserving rooms and ordering food and supplies.
  • Trains students on policies and procedures for expense reimbursement, processes invoices and reimbursement as needed, coordinates institutional purchases, and approves student expenses.
